4.17 Visitor Registration and Safety Training

Site Safety Orientation Training is required for all working visitors (observers, instrument teams, commissioning, contractors, and anyone otherwise coming to the Observatory to work). Escorted visitors who are not working hands-on (tours, visual inspections, etc.) do not require Site Safety Orientation Training if they remain with their trained site staff escort. For Remote Observers, there are also brief training requirements. Follow the processes below to register for each visit. This will ensure you are assigned the appropriate level of Site Safety Training.

Please be sure to complete assigned training prior to your visit!

Observing Only (On-Summit and Remote)

  1. Review the Science Operations Page on preparing for your run at the LBT https://scienceops.lbto.org/observing-with-the-lbt/prepare-for-your-run/. You must register for your visit to the LBT (Mountain or Tucson site) using the forms linked on the Sciops page. You will receive an email from the LBT Safety Manager if training is due.
  2. If traveling to the observatory, be sure to also review the MGIO Information for Observers, Staff and Contractors.

Instrument Team, Commissioning, Member Team Personnel (Beyond Observing Work)

  1. Complete the LBT Visitor Reservation Form. This will notify LBT of your intent to visit and will ensure you are booked for accomodations as well as the required safety training. You will receive an email from the LBT Safety Manager if training is due. NOTE: Please do not email "bedrooms@lbto.org" or any individuals directly to schedule your visit, as this will bypass the safety registration process and could delay your work.
  2. When/if requested by email, complete the required Site Safety Orientation Training per the instructions in the email.
  3. First time visitors must complete a walkthrough with a manager or designee once they arrive to the summit. See the walkthrough instructional checklist in the forms section of the lobby. If required, the walkthrough will be coordinated by the Safety Manager via email after registration is completed.
  4. Be sure to also review the MGIO Information for Observers, Staff and Contractors. First-time member team workers must sign the squirrel briefing in the MGIO Base Camp Office.
  5. Pre-job safe work plans may be requested at the time of registration. For more information on work planning, see: 4.14 Work Planning & Control.

Contractors

  1. LBTO Sponsor/Point-of-Contact notifies the LBT Safety Manager ahead of the visit to coordinate online and/or in-person training for the contractors. Training must be completed before work begins.
  2. If your contractors require lodging, please email bedrooms@lbto.org to coordinate only after contacting the Safety Manager to initiate training.
  3. First time visitors must complete a walkthrough with a manager or designee once they arrive to the summit. See the walkthrough instructional checklist in the forms section of the lobby. If required, the walkthrough will be coordinated by the Safety Manager via email after registration is completed.
  4. Be sure contractors also review the MGIO Information for Observers, Staff and Contractors. First-time contractors must sign the squirrel briefing in the MGIO Base Camp Office.
  5. Pre-job safe work plans may be requested at the time of registration. For more information on work planning, see: 4.14 Work Planning & Control.

Escorted Visitors (tours and no hands-on work)

Escorted Visitors (those on a tour, visual inspection only, no hands-on work) who will be escorted by a trained site staff member (including employees and docents) while on site can visit for that purpose without completing Site Safety Orientation training and are not required to complete the online visitor registration. The site staff member escorting them is responsible for their overall safety during the visit, including to ensure the group is indicated on the Simple In/Out system for the visit. Escorts must also ensure that their escorted visitors go through the proper training and registration process above before being unescorted and/or performing any hands-on work at the site. Non-working visitors are encouraged to read the Visitor Safety Information pamphlets located in the lobby (and electronically below).

ALL visitors who do not have regular business to conduct at the Observatory must be registered 1 week prior with the MGIO Director, Eric Buckley at ebuckley@arizona.edu so that a signed permit can be obtained in advance. This is because those with no regular business to conduct (friends, family, tours, etc.) do not fall under our General Use Permit with the USFS.  

Additionally, all escorted tours must be coordinated with the LBTO Observatory Manager in advance.
